Hello from Pascal and Jérémie! Welcome back to our newsletter, where we explore practical applications of AI in education. This week, we are focusing on a specific challenge faced by many schools: streamlining the admissions process.

As anyone involved in admissions knows, it's a complex juggling act involving numerous data points, multiple stakeholders, and critical decisions that shape the future of the school. Traditional methods, often reliant on spreadsheets and manual data entry, can be time-consuming, error-prone, and ultimately inefficient.

In this episode, Pascal shares a real-world case study of how he leveraged technology and no-code solutions to create a centralized "Admissions Hub" for his division. This system, designed specifically to address the challenges of managing student applications, incorporates automation and data visualization to empower the admissions team and other key stakeholders.

The Challenge: Data Overload and Disconnected Systems

Pascal's division, like many others, previously relied on a multitude of spreadsheets and disparate systems to manage the admissions process. Information about applicants was scattered across different platforms, making it difficult to gain a holistic view of each student's profile.

This fragmented approach led to:

  • Data inconsistencies and errors: Student names and other details were often entered differently across various systems, creating confusion and hindering accurate reporting.

  • Time wasted on manual data entry and reconciliation: The admissions team spent valuable time transferring information between spreadsheets, increasing the risk of errors and reducing their ability to focus on more strategic tasks.

  • Lack of real-time visibility: Decision-makers lacked access to a comprehensive overview of the applicant pool, making it difficult to track progress, identify trends, and make informed decisions.

The Solution: A Centralized, Automated Admissions Hub

To overcome these challenges, Pascal designed a centralized Admissions Hub using Airtable, a powerful no-code database platform. This hub consolidates all relevant student information in one location, providing a single source of truth for the admissions team and other stakeholders.

The hub includes features such as:

  • Comprehensive Applicant Overview: A dashboard displaying key applicant information, including demographics, language selection, assessment scores, and other relevant details.

  • Student Assessment Management: A system for creating, assigning, and tracking student assessments. Results are automatically recorded and reviewed systematically, eliminating manual data entry and ensuring consistency.

  • Automated Communication: The system automatically sends emails to parents regarding language selection and photo uploads, reducing the administrative burden on the admissions team. Automated reminders are also sent to ensure prompt completion of necessary forms.

The Impact: Efficiency, Accuracy, and Informed Decision-Making

The Admissions Hub has had a significant positive impact on Pascal's division, including:

  • Increased efficiency: By automating tasks such as data entry and communication, the admissions team has more time to focus on building relationships with families and making strategic admissions decisions.

  • Improved data accuracy: Centralizing data eliminates the risk of inconsistencies and errors caused by manual data transfer between multiple spreadsheets.

  • Enhanced visibility and decision-making: Real-time dashboards provide a holistic view of the applicant pool, enabling data-driven insights and more informed decisions about class placement and student support.

Beyond the Hype: The Human Side of AI

This case study underscores the potential of AI not just to automate tasks but to empower educators to focus on what matters most: creating a more personalized and supportive learning environment for all students.

Join us in the next episode of our podcast, where we'll continue exploring the power of AI in education around another time-consuming but critically important process: recruitment!
